About us:
The Corporation of Massey Hall & Roy Thomson Hall is a charitable non-profit organization that owns and operates two of Canada's most iconic concert halls. Massey Hall is in the final stages of its most extensive renovation to date, which includes a revitalized auditorium, improved amenities for both artists and patrons. Additionally, it will soon introduce new performance venues as part of the Allied Music Centre, starting with the TD Music Hall, which opened its doors in February 2023. Roy Thomson Hall serves as the home to the Toronto Symphony Orchestra, welcomes the Toronto International Film Festival’s red carpet gala premieres, and plays host to a dynamic array of cultural events throughout the year. The Corporation is actively engaged in Artist Development and Education & Community Outreach initiatives as an investment in the next generation of artists and audiences.

The Opportunity:
The Development Data Administration Intern plays a crucial role in ensuring the accuracy and efficiency of donation processing, data management, and financial reporting within the organization's fundraising operations. The internship focuses on operational tasks of processing payments, auditing data, and generating receipts using the Tessitura database. The intern will also support the fundraising team in maintaining accurate donor records and contributes to the organization's overall fundraising success, gaining valuable experience and insights into the inner workings of fundraising in an arts organization.

Job Duties:

  • Process Payments: Accurately process and record incoming donations, pledges, and payments using Tessitura database, ensuring data integrity and adherence to organizational procedures
  • Audit Data: Regularly review and audit donor information and financial transactions to identify and rectify discrepancies or errors in the database
  • Receipt Generation: Generate and distribute tax receipts and acknowledgment letters in compliance with Canada Revenue Agency guidelines and organization's standards
  • Database Management: Maintain clean and accurate donor records in Tessitura, including updates to contact information, giving history, and preferences
  • Reporting Support: Assist in generating financial reports, fundraising activity summaries, and donor analytics as needed by the development team
  • Support Year-End Audits: Collaborate with the finance team to provide accurate and comprehensive information for yearly audits
  • Data Entry: Input and update donor information, gifts, and interactions into the database with meticulous attention to detail
  • Maintain Confidentiality: Handle sensitive donor information with the utmost confidentiality and ensure compliance with data protection regulations
  • Process Improvement: Identify opportunities to streamline data entry and donation processing procedures for increased efficiency


Requirements:

  • Education and/or previous experience in data administration, preferably in a fundraising or non-profit environment is an asset.
  • Strong attention to detail and accuracy when handling financial data and donor information.
  • Excellent organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Strong communication skills, both written and verbal.
  • Commitment to maintaining confidentiality and handling sensitive information appropriately.
  • Proficiency in Microsoft Excel and data entry skills.
  • Familiarity with AFP (Association of Fundraising Professionals) Donor Bill of Rights and AFP Code of Ethical Principals and Standards is an asset.
